Getting an Accurate Freight Shipping Quote (And Why Vague Requests Get Vague Numbers)
A freight quote can only be as accurate as the shipment information behind it. Giving the right details upfront reduces re-quotes, avoids scope gaps and makes different forwarders easier to compare.
What needs to be in your quote request
Origin and destination: use actual collection and delivery locations where possible, not just countries. Inland distance can materially change the price.
Weight and dimensions: for sea freight these help determine LCL versus FCL; for air freight they determine actual and volumetric weight.
Commodity: describe what the goods actually are. An HS code, if known, helps identify customs treatment and any special controls.
Preferred mode or deadline: tell the forwarder whether you want sea, air, road or rail, or simply provide the required delivery date and ask for options.
Incoterm: EXW, FOB, FCA, DAP, DDP and other terms define which parts of the movement need to be included in the forwarder's scope. See our Incoterms guide.
Why apparently identical shipments get different quotes
Two importers can buy the same goods from the same supplier but have different freight scopes because their Incoterms differ. Under EXW, the buyer may need factory collection and origin export handling included. Under FOB, the supplier normally takes responsibility to the agreed port and on-board point.
That is why “one pallet from China to the UK” is not enough information for a firm comparison.
Why an all-inclusive scope matters
A port-to-port number may exclude origin charges, destination handling, customs clearance and final delivery. Ask every provider to list inclusions and exclusions in the same format. A transparent quote does not need to pretend every government tax or variable carrier charge can be fixed indefinitely, but it should clearly state what is included and what can change.
